The office

The practice’s office is in Salt Lake City. Address, suite, parking, and building details are in your onboarding packet.
Not yet set. The practice is finalizing a lease at a new suite. Office-specific details (access system, keys, building hours, evacuation routes) will be updated when the move is confirmed. Owner: Sonja, with Zack. Needed before the first clinician’s first in-office day. — OPEN-2026-09-03-13

Keys and access

  • You’ll be issued a key, fob, or access code for the office. It’s logged on your equipment form.
  • Don’t lend it, copy it, or share the code.
  • Lost key or fob: tell the practice manager the same day so access can be changed.
  • Return it on your last day.

Locking up

Last person out locks the office, checks that therapy room doors are closed, screens are locked or off, and no client paperwork is visible. If you’re not sure you’re last, lock up anyway.

Therapy rooms

  • Rooms are booked through PracticeOS. Don’t use a room that’s booked to someone else.
  • Leave it as you found it: tidy, tissues stocked, nothing personal or client-related left behind.
  • Sound privacy matters. Use the white noise machine and close the door fully.
  • Don’t leave a client alone in a therapy room with your unlocked device.

Visitors

Clients’ family members, delivery people, vendors, and anyone else who isn’t a client or staff:
  • Are met at the door and not left unattended in the office
  • Don’t enter therapy rooms while sessions are in progress on the floor
  • Don’t see screens, schedules, or paper with client information
Personal visitors (friends, family, children) are welcome briefly in common areas outside client hours, and never in therapy rooms or where client information is visible.

Waiting area

Clients in the waiting area shouldn’t be able to see other clients’ names, the schedule, or hear sessions. Don’t discuss clients in the waiting area or hallway. Greet clients by first name only.

Shared office

The practice shares building space with other tenants. Building common areas aren’t private. Don’t discuss clients in the elevator, the hallway, or the lobby.

Maintenance and safety

Report anything broken or unsafe (a lock, a light, a trip hazard, a leak) to the practice manager. Don’t fix electrical or structural problems yourself.

Office SOP

Building-specific rules are in SOP 31 (Office Space Rules). See the SOP library.
